The Noota Desktop App brings the full power of the Meeting Assistant directly to your laptop.

  • It runs quietly in your system tray, detects meetings automatically, and offers multiple GDPR-compliant recording modes.


1. What is the Noota Desktop App?

The Noota Desktop App is a lightweight Windows and macOS application that:

  • Detects meetings in real time (calendar + microphone detection)

  • Automatically records audio, video, or text depending on your compliance settings

  • Syncs everything to your Noota workspace

  • Runs silently in the background while you focus on the conversation

3. Authentication & Onboarding

3.1 Login screen

Users can sign in using:

Email + Password

  • Opens a secure browser tab

  • After authentication, the desktop app opens automatically

Google or Microsoft OAuth

  • Select Google/Microsoft

  • Authenticate in browser

  • Redirects to “App Ready” page

Logout anytime

4. Calendar Integration (Google & Outlook)

Calendar connection enables:

  • Automatic meeting detection

  • Auto-recording based on your schedule

  • A 7-day calendar view inside the app

  1. Click Connect Calendar
    - Choose Google or Outlook

  2. Approve permissions

5. Settings & Customization

5.1 Microphone selection

Choose the input device used for recordings.

5.2 Meeting language

Set the default language for transcription.

5.3 Meeting Templates

Choose the summary template Noota will apply after each recorded meeting.


6. Recording Modes (GDPR-aware)

Noota offers flexible capture options depending on your privacy needs.

Text only (most private)

  • No audio or video stored

  • Live transcription only

Audio only (default)

  • Highest accuracy for multi-speaker meetings

  • No video captured

Audio + Video

  • Full meeting capture

  • Ideal for demos, presentations, workshops


7. Smart Recording Controls

7.1 Notifications for detected meetings

  • ON: Shows notifications when a meeting is detected via microphone

  • OFF: No notifications — recording can only be started manually

7.2 Auto-record meeting detection

  • ON (default): Starts recording automatically

  • OFF: Sends a detection alert instead, allowing manual start

7.3 Download recordings after end

  • ON: Shows a prompt after each recording to save the file locally

  • Users can set a default save location in Settings


8. Recording a Meeting

8.1 When a meeting is detected (Auto-record OFF)

8.2 When auto-record is ON

Recording begins immediately (with compliance notifications).


9. Starting a Recording Manually

Click on the Start Recording button

While recording

A floating widget appears:

You can:

  • Pause

  • Stop

  • Open meeting guidelines

10. Ending a Recording

After stopping

Your recording will be sent to your Noota dashboard.

If closing mid-recording

A confirmation warning appears, reminding users that stopping will end transcription.
