Make and receive business calls directly inside Noota with automatic recording, AI transcription, and CRM sync.


1. What is Noota VoIP?

Noota VoIP lets you place and receive calls inside the app. Every captured call is automatically transcribed and summarized with AI, and you can sync activity to your CRM/ATS in one click.

With Noota VoIP, you can:

  • Call any contact directly from Noota

  • Receive inbound calls (with purchased numbers)

  • View call history and outcomes

  • Get AI transcripts & summaries

  • Sync activities to integrations

  • Buy dedicated phone numbers

  • Enable forwarding & voicemail


2. Why it’s useful

3. VoIP setup options

Option A - Connect your existing phone number (Outbound only)

Cost: Free

  • Outbound calls

  • Recording + transcript + summary

  • No inbound

Option B - Buy a Noota number (Inbound + Outbound)

Cost: Paid per number

  • Inbound + outbound

  • Forwarding & voicemail

  • Recording + transcript + summary

Teams can mix both setups.


4. Connect your phone number (Outbound only)

Step 1 - Enter your number

Select your country code, enter your number → click Next

Step 2 - Receive SMS

A 6-digit verification code is sent.

Enter the code → click Submit

Step 5 - Success message

Step 6 - Start calling

Use Contacts, Make a call, or the Dialer.

🚨 Didn't get code? Click Resend code.

  • Check number format if it fails.

  • Verification is one-time.


5. Buy a phone number (Admins only)

👉 Only Teamspace Admins can purchase numbers.

Step-by-step

Step 1 - Open purchase flow

Go to General Settings → Calls → Buy phone number

Step 2 - Select country & quantity

Click Continue

Step 3 - Enter business details

  • Business name

  • Legal registration name

  • Website

  • Authorized representative

  • Work email

Step 4 - Request confirmation

Notes

  • Inbound + voicemail + forwarding enabled after activation

  • Some countries require verification documents


6. Assigning & managing numbers

Number statuses

Rules

  • Admins & Members can assign Available numbers

  • Users can assign multiple numbers

  • Assigned numbers instantly appear as Taken to others


7. Receiving Calls (Inbound)

How inbound works

1. Pop-up call card appears

Click Accept or Decline

2. In-call bar appears with mute, recording, timer, hang up

After the call

Go to History

You’ll see:

  • Duration

  • Call type

  • Call date

  • Folder

  • Summary

Missed calls

  • Show as Missed in History.


8. Placing Outbound Calls

Method 1 - From Contacts

  • Hover a contact → Call

  • In-call bar appears

  • After call → Open summary

Method 2 - From the Dialer

  • Click Make a call

  • Select country code

  • Enter number

  • Call

  • Use keypad

Tips

  • If Call is disabled → number isn’t assigned/connected

  • Allow microphone permissions


9. Call History

You’ll see:

  • Incoming / Outgoing / Missed

  • Duration

  • Assigned number

  • Timestamp

  • Open summary + transcript


10. Troubleshooting

❗ No SMS code

  • Click Resend code

  • Recheck number format

  • Ensure phone receives SMS from unknown senders

❗ Call won’t start

  • Confirm your number is assigned

  • Enable microphone permissions

  • Refresh browser

❗ No inbound calls

  • Requires purchased number

  • Ensure Admin completed activation

  • Check forwarding settings

❗ No transcript

  • Recording must be on

  • Check audio quality

  • Confirm browser permissions
